Who we are

Instruments of Time and Truth is a registered charity, No. 1159371. We are the data controller for the personal information described in this notice.

How we collect your information

We collect personal information when you get in touch with us, sign up to our mailing list, become a Friend, make a donation, buy a ticket for one of our events, or take part in a workshop or education project. We may also receive information about you from ticketing partners, but only where you have given them permission to share it under their own data protection policies, or where there is a legitimate interest in doing so.

What information we collect

Depending on how you interact with us, this may include:

  • your name, email address, postal address and telephone number
  • the content of messages you send us through our contact form or by email
  • details of tickets you have bought, donations you have made and your Gift Aid declaration
  • your IP address and basic information about how you use our website
  • photographs or video taken at our concerts, which may include audience members
  • information about you as a performer that we need for our professional relationship with you
  • medical needs and emergency contact details for people taking part in our education projects

Payment card details are handled by our payment providers and are never stored by us in a usable form.

How we use your information

We use your personal information to:

  • reply to your enquiries and provide the services or information you have asked for
  • send you our newsletter, if you have signed up to it
  • run our Friends scheme and contact you about your support for IT&T
  • process ticket sales, donations, Gift Aid and other payments
  • contact you about events you have booked or attended
  • plan future activities and further our charitable aims

We will only send you marketing emails where you have given your consent or where the law otherwise allows. Every email we send includes a link to unsubscribe, and you can also ask us to stop at any time.

Our mailing list

When you sign up to our newsletter, your name and email address are stored by Mailchimp, the service we use to send our emails, and by Squarespace, which hosts our website. We use these details only to send you news about IT&T. We never sell, rent or share our mailing list with anyone else.

Who we share your information with

We do not share your information with third parties for their own marketing. We use trusted service providers who process information on our behalf, only as far as is needed to provide their service. These include Squarespace (website and contact forms), Mailchimp (newsletter), Google (advertising measurement, if you accept cookies), our ticketing providers such as Ticket Tailor and TicketsOxford, our payment providers, Xero (accounts) and, where relevant, the venues we perform in. We may also disclose information where we are required to do so by law.

Some of these providers store data outside the UK. Where this happens, we make sure appropriate safeguards are in place.

How long we keep your information

We keep your information only for as long as we need it for the purposes above, and we do not keep more than we need. Mailing list details are kept until you unsubscribe.

Cookies

Our website uses cookies, small files stored by your browser, to make the site work properly and to produce statistics about how it is used. With your permission, we also use Google Ads cookies to measure how many people reach our website from our adverts and then sign up to our newsletter, send us a message or click through to book tickets. You can accept or decline these when you first visit the site, and you can delete or block cookies at any time through your browser settings, although some parts of the site may not then work as intended.

Your rights

Under UK data protection law you have the right to ask for a copy of the information we hold about you, to ask us to correct or delete it, to object to or restrict how we use it, and to withdraw your consent at any time. To make a request, please contact us.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
